This is a brief outline for “BALBALIKA GROOVES” Melbourne’s charity event for The Nepal Balbalika (Children’s) Trust.
Matt was asked by his friend in London, Christophe Gonga, to put on the Melbourne leg of a party he was running for a charity called WORLD’S HIGHEST GIG. The aim of the charity is to raise money to build a school for destitute, abandoned and orphaned children in Nepal. The Nepalese Government has promised the land if we can provide the money and support to build the school.
The charity is a UK registered charity, No. 1108364
Our aim is to put on a number of parties around the world to get people involved in such a positive and worthwhile cause whilst doing something they love. We also aim to provide a sense of global unity and support by having concurrent parties around the world and linking them via web cams and web casts.
The Melbourne event will be a Sunday Session of funky house, progressive and trance featuring a host of big name and up-and-coming DJ’s at a central venue. To link up with the other parties around the world (London, LA and Thailand) the date chosen is the 26th June.
The venue is The Drifter’s Alibi on Bay St, Port Melbourne. We have negotiated to have the entire venue, which includes bar, dance floor, lounge area, and street area. It has a large street frontage on 2 sides in a popular street so we hope to generate interest from “walk ins” as well as from advertising. The capacity of the venue is approximately 450 people
It’s an ideal venue because it has a number of different areas, so patrons can relax on the lounges or get down n funky on the dance floor. The sounds system covers the whole area. There is even a kitchen and dining area and the possibility we will be providing a free Nepalese barbeque.
Opening times on Sunday are from 12 noon til 11pm. It is intended to start the party at opening times and run the BBQ for the first hour and drink specials for the first 4 hours to encourage early attendance and to enable the live link up with London.
As the event is a one off and for charity we are aiming to do everything at a minimal cost. The venue and staff have been provided for free, the door staff and all the DJ’s and our promotional team are working free of charge.
All sponsorship for the event would be greatly appreciated as it will keep costs to a minimum and hence maximise the benefit for charity. Companies can sponsor $100 (minimum) to have their corporate logo placed on all printed matter including flyers, posters and streetpress adverts all being provided at discounted rates. Drink sponsors can provide their products for free to enable us to provide the drinks specials. We are arranging our own list of cocktails and shooters with catchy names such as Kathmandu Kaos, or Mountain Ice or even the Dhali Limer and a non alcoholic cocktail Off Piste! And we are also looking for product sponsors to enable us to hold a raffle at the end of the night and give away prizes to the winners.
Advertising - We aim to get the word out everywhere and appeal to as wide a range of the community as possible. We propose to use all the industry websites, the street press, community papers and radio stations, the Nepalese community (who we are already in discussions with), student newspapers, flyers – (in particular Bay St shops, St Kilda, Brunswick St and City Locations), email lists for DJs and clubs, and of course word of mouth.
The main costs therefore will be advertising, flyers, tickets and posters. The income for charity will be the ticket sales, door charge, cloakroom charge, raffle and additional sponsorship raised during the event. So it very important we try offset the marketing costs as much as possible.
And finally we aim to make the day a happy one, for all involved with free give aways during the event and a line up of DJ’s that would out-do most club events of a much larger scale! We want to generate a nice warm funky atmosphere and help out the children of Nepal.
Thank you for taking the time to read this proposal and we hope you decide to help us with this event in any way you can.
